Terms and Conditions & Privacy Statement

This statement sets out the terms, conditions, and privacy practices of the Financial Study Association Groningen (FSG). Becoming a member means your acceptance of these terms and conditions, as may be amended from time to time. If you do not agree to these terms and conditions, please do not become an FSG Member and do not make use of the platforms that FSG offers. We reserve the right, at any time, to modify, alter or update these Terms and Conditions of use, and you agree to be bound by such modifications, alterations or updates.

1. Definitions

  • FSG: Financial Study Association Groningen, Nettelbosje 2, 9747 AE Groningen, The Netherlands.

  • Member: Any person accepted as a member of FSG in accordance with these Terms.

  • Candidate Member: A person who has applied for membership but has not yet been confirmed.

  • Event: Any activity organised or co-organised by FSG.

  • Recruitment Activity: An event in which companies and students interact for potential recruitment purposes.

  • Non-recruitment Activity: All other events without a direct recruitment purpose.

2. Information Provision

  • FSG compiles information from internal and external sources but makes no representation as to its completeness or accuracy.

  • Members must ensure that all information provided to FSG (via website, email, or other means) is accurate and truthful.

  • Personal information is stored centrally and only accessible by the FSG Board, unless necessary for committee operations, in which case the relevant committee will have temporary access.

  • It will always be specified which information is shared and for what purpose.

  • FSG reserves the right to update personal information in its records as new information becomes available.

3. Membership Terms

  • Membership is open to financially interested students of the University of Groningen. Please note, EBF membership is required for students of the Faculty of Economics and Business (FEB).

  • Duration: 1 September – 31 July, automatically renewed unless cancelled before 1 September.

  • Membership is personal and non-transferable.

  • Termination: Send an email to secretary@fsgroningen.nl or complete the official termination form.

  • Membership fees are collected in June or July for the current academic year. Cancellation after September does not exempt from payment for that year.

  • FSG may terminate membership at any time with notice; the member may appeal at the next General Members’ Meeting.

  • Members agree to receive communications from FSG and its partners (including FAN) via email, telephone, or post.

  • Graduates may become FSG Alumni; attending an Alumni Event automatically grants Alumni status.

4. FSG Events

  • In principle, FSG events are open to members only, unless otherwise specified.

  • FSG may charge non-members a higher participation fee.

  • Registration fees are non-refundable if the participant cancels.

  • If an event is cancelled by FSG for reasons beyond its control, FSG is not liable for any costs. If cancellation is within FSG’s control, the registration fee will be refunded.

  • FSG may cancel events at any time and is not liable for damages occurring during events.

5. Event Participation and Penalty Policy

5.1 Penalty Policy

5.1.1 Cancellation at least four working days before an event (before 17:00): no fine.
5.1.2 Cancellation less than four working days before an event: €25 fine.
5.1.3 No-show without cancellation:

  • Recruitment activity: €50 fine

  • Non-recruitment activity: €30 fine

5.1.4 Cancellations must be submitted by email to the address used in event correspondence, with the subject: “Cancellation Activity X”.
5.1.5 By registering, you authorise FSG to automatically withdraw the fine from your bank account.

6. Website & Intellectual Property

  • FSG is not responsible for the content of external websites linked from its own website.

  • All materials on FSG’s websites (including logos, designs, photographs, and texts) are owned or controlled by FSG and protected under Dutch copyright law.

  • Use of any such material requires prior written permission from the FSG Board.

7. Processing of Personal Data

7.1 Categories of Data Collected

Identification: name, date of birth, gender, student number, study programme(s), start date of study, bachelor’s and master’s degrees.
Contact: email address, telephone number, postal address, preferred language.
Financial: IBAN, BIC, contribution payment status.
Event-related: CV, motivation letter, grade list (for selection events), photographs/videos taken during events.

7.2 Photographs and Videos

  • FSG may take photographs and video recordings during events in which members may appear.

  • Such materials may be used for promotional purposes and published via FSG communication channels, including but not limited to the FSG website, social media platforms, printed materials, and newsletters.

  • If you wish to have a photograph or video in which you are clearly recognisable removed, you must contact the FSG Board via board@fsgroningen.nl.

7.3 Purposes and Legal Bases (EU GDPR)

  • Membership administration – Performance of a contract (Art. 6(1)(b) GDPR)

  • Event organisation and communication – Performance of a contract (Art. 6(1)(b) GDPR)

  • Financial processing – Legal obligation & performance of a contract (Art. 6(1)(b) and 6(1)(c) GDPR)

  • Promotional use of media – Legitimate interest and/or consent (Art. 6(1)(f) and 6(1)(a) GDPR)

  • Verification with EBF – Performance of a contract (Art. 6(1)(b) GDPR)

  • Disclosure to partner companies for recruitment events – Consent (Art. 6(1)(a) GDPR)

7.4 Retention Periods

  • Membership records: 2 years after termination

  • Financial records: 7 years (statutory tax obligation)

  • Event applications: deleted within 2 weeks after event completion

  • Photographs/videos: until withdrawal of consent or maximum 5 years after the event

  • Banlist records: maximum 2 years from placement date

7.5 Data Sharing

We may share your data:

  • With EBF to confirm eligibility

  • With partner companies for selected recruitment events

  • With law enforcement or authorities when legally required

  • With third-party service providers under data processing agreements

  • In case of organisational restructuring, with prospective successors

8. Security

We implement appropriate technical and organisational measures to protect personal data. In the event of a serious data breach, the Dutch Data Protection Authority will be notified within 72 hours, and affected individuals informed promptly.

9. Rights of Data Subjects

You have the right to access, rectify, erase, restrict processing, request data portability, object to processing, and withdraw consent at any time.
Requests must be sent to board@fsgroningen.nl and will be answered within one month.

10. Liability

FSG is not liable for direct or indirect damages related to its events, except in cases of intent or gross negligence. Participation is at your own risk. Liability is limited to the amount covered by insurance, or €250 if lower.

11. Force Majeure

FSG is not obliged to fulfil its obligations in cases of force majeure, including but not limited to natural disasters, pandemics, government restrictions, strikes, technical failures, or other unforeseeable events beyond FSG’s control.

12. Governing Law and Disputes

These terms are governed exclusively by Dutch law. Any disputes will be submitted to the competent court in Groningen, The Netherlands.

13. Amendments

We may amend these terms at any time. The latest version will be published on our website and, where possible, communicated via email.

14. Final Provisions

FSG reserves the right to make the final decision when any provision in these Terms is unclear.
